Program Associate, Africa Institute – New York, NY

The Program Associate supports the Africa Institute in all aspects of its work, ranging from the design and management of programs to building and maintaining relations with the Institute’s various constituencies—internal and external. The position requires a fair amount of research and writing and involves providing general administrative support.

The Program Associate reports to the Director of the Africa Institute

Specific Responsibilities:

  • Support Institute’s work cultivating relations and communicating with representatives of the African diplomatic corps both at the UN and in Washington, US Government officials, African diaspora leaders, NGO’s, and assorted individuals whose friendship or advice has bearing on the Institute’s agenda;
  • Serve as a point person for follow up with the Marketing and Communications Department, the Department of Regional Offices, and other AJC departments or divisions, regarding developments and accomplishments in the Institute’s program and developing background information transmitted to that end;
  • Assist with the coordination of AJC’s Diplomatic Marathon, including follow up and confirmation of meetings, coordination of and logistics as well as support with planning of side events;
  • Assist with the planning and execution of any Institute-related programing during AJC’s Global Forum/ACCESS Summit, including the preparation of briefing and any other related materials;
  • Research topics concerning political, economic and social themes relating to Africa that are of strategic importance to AJC. This research may translate into briefings, internal memos, and other documents the Institute distributes internally or publishes externally;
  • Track Africa-related legislation and stay up to date and knowledgeable on how the Institute’s thematic priorities are reflected on Capitol Hill;
  • Provide overall administrative support, including:
    • assistance with on-sight and off-sight meetings/events; format invitations and invitee lists, liaise with invitees, accurately record rsvp’s, arrange room set-up, technological needs, and preparation of meeting materials and other essential details;
    • maintenance and update of organized filing system on shared computer and Google drive;
    • maintenance of internal and external information/communication with the Institute’s Board and contact networks;
    • materials preparation and note-taking for meetings, conferences and international missions;
    • assistance in configuring and keeping up to date the Institute’s contact database;
    • coordination of Institute’s reporting, including the following: Quarterly Legislative Report, Media Report, Impact Report, and Advocacy entries on Raiser’s Edge;
    • coordination, scheduling and logistics for travel by Institute staff and planning meetings;
    • generally serving as the Institute’s liaison with AJC/OGIA staff on all administrative, technical, scheduling and planning questions; ensure departmental obligations are communicated and implemented in timely manner.

Personal Qualifications and Core Competencies:

  • An undergraduate degree is required.
  • At least two years of work experience. Previous Africa, government and/or NGO exposure desired but not required.
  • Excellent written and verbal communication skills (French preferred; not required).
  • Excellent interpersonal skills, tact and diplomacy.
  • Excellent research knowledge
  • Excellent organizational and time management skills.
  • Ability to manage multiple projects and work collaboratively with fellow staff as well as lay leaders.
  • Strong attention to detail and follow-through.
  • Passion for AJC’s mission.
  • A demonstrated commitment to high ethical standards and values.
  • Willingness to travel.
  • Willingness to attend meetings and programs outside of standard working hours.
